Performance Requirements

4AGTC aim to be a professional, affordable, and FUN addition to your event!

The following conditions are standard for professional artists who perform in the corporate/private party industry and are necessary to ensure that your event runs smoothly. Please read carefully and call us with any questions.

TRAVEL - PARKING - LOADING

  • 4AGTC must arrive at the venue (at least) 3 hours before guest arrival to set-up and conduct sound check.

  • More time will be needed if 4AGTC are furnishing a secondary location for cocktail hour and/or ceremony.

  • If your venue has time restrictions on load-in, an A2 (second audio engineer/stage hand) may be required at an additional cost.

  • If performance area is more than 150’ from the load-in location, an additional hour will be needed for set-up/tear down, and an additional labor fee may incur.

  • 4AGTC cannot be held responsible for delays should other vendors occupy the loading area during our appointed load-in time set by your event staff or venue coordinator.

  • 4AGTC are not able to take road cases up stairwells.

  • If the use of an elevator is necessary, we are happy to schedule a specific load-in time that does not interfere with your other vendors.

  • ''Purchaser" must arrange parking for each band member + audio engineer near the load-in area or within 150 feet of the stage.

  • Client is responsible for all vendor parking fees and permits for the entire duration of the contract. If arrangements are not made in advance, 4AGTC’s collective fees will be added to the “Purchaser’s” final balance.

  • 4AGTC cannot be held responsible for delays should client neglect to provide appropriate parking.

  • Events more than 90 minutes outside of Nashville will not require as many spaces as we will be carpooling or hiring a coach. 4AGTC will send a final vehicle count no less than 7 days prior to the event. Should 4AGTC travel via coach, management will send particulars regarding parking, power, etc, no less than 30 days prior to the contracted event date.

STAGING - INCLEMENT WEATHER - POWER AND SAFETY

To ensure the safety of our personnel and equipment, 4AGTC must insist on the following provisions. Any loss of 4AGTC property due to neglect of the following will be the financial responsibility of the purchaser. 4AGTC reserves the right to void performance contract and collect, in-full, if the safety and well- being of our staff or equipment are at risk.

  • Should your venue provide A/V Equipment, our stage plot and input list is available below for the audio team to review.

  • Purchaser" agrees to provide 4AGTC with at least two (2 )separate & dedicated twenty (20) amp (110 volt) power circuits within ten (10) feet of the stage.

  • If provided power is above 110 volts, venue must supply a power distro with step- down transformer for each circuit.

  • 4AGTC are not able to perform if power is supplied by generator.

  • Please ensure that other vendors (such as lighting designers and/or photographers) have access to their own power as we are not able to share circuits.

  • 4AGTC is not responsible for supplying/funding extension cords if stage is more than (10 ft) from the performance area.

  • If 4AGTC is to perform inside, a stage is not mandatory, however, we require a space approximately 12ft deep by 20ft long. Due to liability of guests/staff outside of 4AGTC being near the equipment, please ensure staging area is not in a walkway or in the direct path of the restrooms/catering kitchen.

  • If 4AGTC are to perform outside, a stage and tent with sides ARE mandatory REGARDLESS of the weather forecast. The tent MUST overhang the stage so as to not have water dripping onto the equipment in the event of weather, and sides MUST close.

  • 4AGTC will under NO circumstance set-up and then tear down to re-set in a different location.

  • If 4AGTC is to perform outside with temperatures below 50 degrees F, two space heaters will need to be rented and placed facing the stage. Adversely, if temperatures rise above 60 Degrees F, two fans will be needed – One on either side of the stage & plugged into separate power independent of our 2 required 20 amp circuits. Home Depot and Lowes offer affordable options that are returnable after the event is over.

  • If venue requires vendors to be off-site by a certain time, 4AGTC requires a minimum of 90 minutes with ample lighting & clear access to elevators and loading dock to tear down and exit the premises. 4AGTC cannot be responsible for delays should other vendors occupy the loading area during our appointed time.

  • Unless personally invited, noone aside from 4AGTC personnel are to be on stage or touch 4AGTC’s equipment/instruments. Exceptions are made for planned speeches and announcements, but no other circumstances will be allowed. If continued attempts are made by a guest, 4AGTC reserves the right to discontinue the performance and collect in-full.

  • In the event that 4AGTC are performing in a gallery or museum where priceless items are near the performance area, 4AGTC requires the venue to list 4AGTC as an additional insured and furnish documentation prior to the event date.

  • If 4AGTC is providing ceremony sound or music in a different location, an additional sound system, riser, overhead covering, and power circuit run to the ceremony location will be needed. We can provide a small PA system, wireless officiant mic and recorded music for an additional fee, and will tap into provided power with our own power strip. If you should decide on live musicians for your ceremony, we are happy to arrange that for you for an additional fee per musician/chart. Please disregard if this is already included in your package price.

  • If 4AGTC is providing cocktail music in a different location, an additional sound system, and power circuit will be needed. We can provide a small PA system with recorded music for an additional fee and will tap into provided power with our own power strip. If you prefer live music from the main staging area for your cocktail hour, let us know, and we will be happy to accommodate your request complements of 4AGTC! If cocktail hour is to be outside, power run to the performance area and an additional riser and overhead covering are mandatory in case of weather. Please disregard if this is already included in your package price.

PERFORMANCE

  • 4AGTC shall perform music to suit the mood of the event. Please advise us via the client questionnaire if there is a theme.

  • Song choices (besides special dances) are chosen at the discretion of 4AGTC and will be discussed with the “Purchaser” prior to the event.

  • ''Purchaser" agrees to provide 4AGTC with all music requests and a detailed timeline of the event no less than two weeks prior to event.

  • 4AGTC shall DJ appropriate music on breaks. (Client may provide suggestions and link us to a playlist, but for liability reasons, we cannot use clients’ electronics.)

  • 4AGTC shall have high quality microphone and sound equipment. Should you require a speech mic or additional equipment independent of the stage set-up, please contact management. Additional fees may apply.

  • 4AGTC shall ensure optimum production appropriate for the venue size.

  • 4AGTC agrees to provide appropriate stage lighting and dance floor lighting for weddings, parties and small concerts.

  • If “Purchaser/Promotor” hire additional production, they MUST purchase their own Event Liability Insurance policy listing 4AGTC as an “additional insured.”

  • Outside production must not “tap in” or interfere with 4AGTC’s equipment, power or performance in any way.

  • 4AGTC carries an Event Liability Policy as well as Equipment Insurance. We do not carry Worker’s Compensation as our contractors are independent and not employees. A copy of our COI will be attached to your contract. Please contact management and allow 24 hours if your venue requires a certificate naming them as an additional insured as well.

    ARTIST RIDER

  • ‘'Purchaser" shall arrange (when available) a green room with at least 1 outlet, full-length mirror, and (1) case of bottled water available to us at load-in. If no green room is available, a suitable alternative must be provided.

  • ‘'Purchaser" shall arrange (when available) a storage space close to the stage for cases/unused equipment. Delays may occur if equipment cases need to be returned to the green room or vehicle.

  • ‘'Purchaser" must provide a full-sized, healthy, substantial, hot meal consisting of the catered fare for each member of 4AGTC staff. Please, no pizza, cold cuts, sandwiches or salads as the main course. Meals must be “per person” or “buffet style” with sufficient servings.

  • ‘'Purchaser" shall arrange for a dinner location with appropriate seating/utensils/condiments and allot a minimum of 30 minutes to eat. 4AGTC are happy to arrange an appropriate window for vendor meals convenient to the final timeline and caterer’s needs, however, we ask that vendor meals not be served during set-up, sound-check or performance times.

  • Purchaser shall provide non-alcoholic beverages for the entire contract duration beginning at load-in.

  • We will not partake of alcohol or other provisions unless invited. Please let us know what is acceptable and we will be happy to comply. *****4AGTC staff are contractually bound to adhere to a strict 2 drink maximum per contracted event duration!
